Administrator Guide
This guide is designed to help you get the most out of your raffle campaign, whether you are
Flying Solo, or Raffling as a Team

Raising funds on your own
Review your campaign
Before continuing, we recommend you review your campaign and edit if required. Your campaign should be reflected in the best light possible. Content, spelling, grammer and punctuation are all very important.
How: From the main menu, select ‘Raffle Campaign’, then ‘Edit Campaign‘. Make changes and select the ‘Save Changes’ button at the bottom of the page.
Checklist:
- Your Campaign Title should be short, succinct and read correctly
- Use a high quality Campaign Image that is not too busy and free of text. Check how it looks when the campaign text is overlayed. If it isn’t easily read, please upload a different image.
- Your Story is used to connect with potential ticket buyers. It should outline WHAT you are raising funds for and WHY. Most importantly, advise HOW these funds will make a difference to your organisation or cause
- Ensure your Fundraising Goal is realistic and attainable. You’ll receive 50% of every ticket sold in your campaign. Please consider this when setting your fundraising goal.
Selling tickets via the Admin Portal
Let’s start selling tickets!
Use your Admin Portal to share your campaign via social media, email and other digital means. Buyers follow the link to your Campaign Page where they can learn more about your fundraising cause and purchase tickets on their own device.
There are 3 ways to share your campaign:
- Copy link – Include the link when composing your own messages
- Share on socials – This option creates a post for social media
- Print flyer with QR code – Used to promote your raffle and encourage unassisted ticket sales. Buyers simply scan the QR Code and fulfil their own purchase of tickets. Great for canteens, lunchroom, newsletters and anywhere else you can reach potential ticket buyers.
How to Share from the Admin Portal:
From the Main Menu, select ‘Raffle Campaign‘ and then ‘Share Raffle‘.
Shortcut: Use the Share icon located at the top-right of your screen.
Bolsta Raffles App
Never miss an opportunity to sell tickets again.
Your Bolsta Raffles App allows you to sell tickets anywhere, anytime. Collect payments on your mobile device or buyers can scan your unique QR Code and fulfil the purchase on their device. They can also pledge to buy tickets and fulfil their purchase at a later time.
As an administrator who is flying solo, it is perfectly fine to exclude using the app and run your whole campaign from the Admin Panel. However, the app is an excellent resource to use at events, game days, work and anywhere else you are likely to make face to face ticket sales.
How to download the Bolsta Raffles App
Download the ‘Bolsta Raffles’ app from Apple App Store (IOS) or Google Play (Android).
Important: Use your same log-in credentials as the Admin Portal.
Concluding your Campaign
Your raffle campaign will run continuously, until you choose to conclude it. Run it for a days, weeks, months or indefinitely.
Our unique and innovative Rolling Raffle Feature makes this possible. The instant one raffle ends, a new one begins, with its own tickets, prizes and winners. Your campaign details update every time it rolls from one raffle to the next, without any interruption to ticket sales. You can now run your raffle for as long as you need to.
When you are ready, simply conclude your campaign.
How: From the Main Menu, select ‘Raffle Campaign‘, then ‘Conclude Raffle‘ and follow the instructions.

If you are involving Juniors?
Why include Juniors?
Kids that are too young to use our Bolsta Raffles App, can be easily uploaded to your campaign in name only. Parents can then connect with them in the Helper Hub to sell tickets as a family unit.
This feature is aimed at supporting primary schools and junior clubs, as parents are more likely to get involved when their child is included. Research also suggests that involving kids can be a great way to build their financial skills. Parents can even help multiple children at the same time and have their funds split evenly between them.
How to include Juniors in your campaign
It is important to add juniors before inviting parents, so they can connect with them in the Helper Hub once they have downloaded the Bolsta Raffles App.
Step 1: Only required if you DID NOT selected ‘Yes’ to having kids under 12, when setting up your campaign.
- From the main menu in the Admin Portal, select ‘Raffle Campaign’ then ‘Edit Campaign’
- Choose ‘Yes’ to the option “Will this campaign involve kids 0-11 years old?”
- Select the ‘Save Changes’ button at the bottom of the page
Step 2: Uploading Juniors to your campaign
- From the main menu in the Admin Portal, select ‘Sellers’
- Then select ‘Juniors (0 – 11 years)’
- You have the choice to Add Individually or Upload a List. Choose your preference and follow the instructions
Unique Identifiers
If you have juniors with the same name, you will be prompted to add a unique identifier for them, so parents and family can connect with the correct children. Class number, team name, age group or nicknames make great identifiers.
Recruiting your team
Easily recruit club members, students or volunteers to help sell tickets in your campaign.
No more handing out raffle books! You simply invite them to your campaign and they use the Bolsta Raffles App to sell their quota of tickets.
Recruit Sellers with your customised Invite
Your customised Campaign Invite contains all the information Sellers need to know about your campaign and how to participate.
- From the main menu, select ‘Sellers’ and then ‘Recruit Sellers’
- Select the ‘View Invite’ link to view what your Sellers will receive
- Select the ‘Send Invite’ button to be presented with the following 2 options:
Option 1: Copy Link
Use this option to invite Sellers by Email, Social Media or other digital means, especially when inviting Sellers in bulk. Copy and insert the link to your Campaign Invite into you own message.
Option 2: Send email
This option sends the invite as a email to individual Sellers.

Ticket sales acquired when sharing from the Admin Portal, are credited to your organisation’s tally. Use the Bolsta Raffles App to have sales registered against your personal tally.

Each seller is credited with their own sales made via the app.
3 ways to sell tickets
Sharing
Share your campaign via social media, email or other digital means. Ticket buyers are directed to your personalised Campaign Page where they can purchase tickets.
Face to Face
Never miss an opportunity to sell tickets again. Collect payments direct on your mobile device, or buyers can scan your unique QR Code and fulfil the purchase on their own.
Pledging
Buyers can pledge to purchase tickets later. They receive an email with their pledge details, which they can fulfil on their own device at a time that suits. We’ll even send them reminders for you.
How to download the Bolsta Raffles App
Download the Bolsta Raffle App from Apple App Store (IOS) or Google Play (Android)
Important: Administrators use their same log-in credentials as the Admin Portal.
Helper Hub
Sellers in your campaign can use the Helper Hub to create their own personal team of family and friends to help them sell their quota of tickets.
This is particularly important if you have included juniors in your campaign. Once they have been uploaded in name only, parents and other family members can connect with them via the Helper Hub.
A person helping someone else becomes a Helper. Any funds they raise are divided equally, between the number of Sellers they are helping.
How to use the Helper Hub (app only)
1. Download the Bolsta Raffles App
2. From the main app menu, select ‘Helper Hub’ (Shortcut: Helper Hub icon in the bottom menu)
3. Use the Search function to find the person you wish to help (or scroll down the list of names)
4. Select the ‘Help’ button against their name. You are now their Helper
If you can’t find someone in the Helper Hub, they are not yet part of the campaign.
What to do?
- If aged 17 or older, use the ‘Send Invite’ link at the bottom of the screen to invite them to your campaign. Once they sign up, you’ll be able to help them.
- If aged 0 – 16, ask an Administrator to add them to the campaign as a Junior (In name only)
The Invite contains instructions on how they can join the campaign. You can then connect with them via the Helper Hub.
Adding Administrators
You can add additional Administrators, to help you run your campaign. Any person who is a Seller or Helper in your campaign, can be made an administrator.
How to add Administrators:
- From the main menu in the Admin Portal, select ‘Organisation’ and then ‘Manage Administrators’
- Select the button ‘Add Administrator’
- Use the Search function to find the person you wish to make an Administrator
- Select the ‘Add’ button to continue. This initiates an in-app request, that the new Administrator must ‘Accept’ to complete the process
Note: Only people signed up to your campaign are shown in the search function.
Campaign Management
Bolsta Raffles provides you with real time results and other data to run your campaign effectively.
Instant tracking of your campaign
- Total funds raised against your goal
- Number of Sellers and Helpers who have signed up to your campaign
- Leader boards
- Ticket sales and Pledges
Sellers and Helpers also see their own performance and that of the organisation through the Bolsta Raffles App.
How are sales assigned?
- Sales made via sharing from the Admin Portal are assigned to the organisation’s tally
- Sales made via your Campaign Flyer (printed from the Admin Portal) are assigned to the organisation’s tally
- Sales made via the Bolsta Raffles App are assigned to the individual Seller who made the sale
